Sage 50 version 2021: A Closer Look

Let’s take a closer look at some of the new features in Sage 50 accounting software version 2021. The features that we will cover in this article include:

  • Memorized Purchase Invoices / Vendor bill update
  • Enhancements to task windows, lists, and other program areas
  • Improvements to list windows
  • Updates to in-product messaging and
  • Gmail Security Updates

Now, let’s get started:

Memorized Purchase Invoices/Vendor Bills update –

This new feature allows Sage 50 users to save time on transactions that they frequently enter into the system. Simply create and save a template of those transactions, and reuse the template later. Some template examples include a service bill with variable costs and few or no inventory items.

Here’s how to access this Sage 50 2021 feature:

  • Navigate to the Purchases /Receive Inventory task window.
  • Click the arrow next to the Copy toolbar button and select ‘Memorize for future use.’
  • This will open the Maintain Memorized Purchase Invoices window with the relevant transaction details already entered in the invoice. Here you can modify the line item details to include information that will remain the same in the future (saving you time).
  • For example, the line items may remain the same in future transactions, but the costs and quantities may be different. Once you’ve modified the template to match your preferences, please enter a transaction ID and description for the Memorized invoice and save.
  • When you need to use this template in the future, open the Purchases/Receive Inventory window, click the arrow next to List and click Select. Then click the desired Memorize Purchase Invoice from the list of items displayed in the dropdown.

To edit an existing memorized purchase invoice or to create a new one from scratch, select Maintain from the main menu bar, memorize transactions, and Purchase invoices.

2. Enhancements to task windows, lists, and other program areas

Tooltips have been added to the item and job columns on task windows. In previous versions, you had to click inside a field to view the complete id of an inventory item or the details of a job assignment. Now you just have to hover your mouse over the item field in a populated sales order to see the entire item ID. Similarly, you can also see the complete job details by hovering over a populated Job field in a sales order.

3. Improvements to list windows

You can now add the Ship to Name column on Proposals, Sales Orders and Sales Invoices list windows.

Here’s how: Click on the Settings tab in the Sales Order list window and then Add the Ship to Name Column to the selected column list.

Additionally, you can now add the Attachments column to the Quotes and Sales Orders list windows (which allows you to quickly identify which transactions have files attached to them.)

If you’re using the Workflow process feature in Quantum Accounting, you now have the ability to add tracking details to the Proposals and Quote list windows. So you can quickly view a transaction’s tracking status, the person it is assigned to, and any available tracking notes.

4. Open an Existing Company Window

This window will allow you to quickly see the Last-Modified time stamp and folder path (so you can easily determine which dataset you want to work with).

5. Improvements to in-product messaging

In Sage 50 version 2021 in-product message updates can be seen in individual call out blocks on the side of the program. You’ll be notified of account notices, promotions, support, and product news via this in-product messaging tool.

If you want to get more details about any of the in-product message updates, simply click on the ‘Learn More’ link under the message update. When you open a message it gets marked as read and is removed from the side panel.

Messages are categorized by types. They can be turned on and off by managing your category notification preferences. You can also select your content preferences, so you are only seeing the messages you want to see.

5. Gmail Security Updates

Sage 50 version 2021 integrates with Google’s Security API to authorize and secure access to your Gmail account. You no longer need to enter your Gmail password in Sage 50 when you send your first email of the day. You just need to walk through an initial authorization process the first time you send an email in version 2021.

Simply sign in to your Google account and authorize Sage 50 to connect with your Gmail account to send emails. Two-step verification may be required to complete the authorization.
